Summary: Oporto launched the sign-offs tool since its initial launch of World Manager® online training suite. The company has found great benefits by tracking approvals and sign-offs electronically what they were previously tracking manually. All the teams find great advantage having information at real time to process sign-off checklists. How long did it take you to launch this tool?

We launched this tool with our initial launch of the World Manager® platform. It was extremely beneficial to track all these checklists electronically instead of manually. It took us about 1 or 2 months for the whole group to use this tool.

What type of training do you use the sign-offs tool for and what is a sign-off process?

We use the sign-offs tool for our station verifications. What is a sign-off process? They are on the job training checklists we complete when we are training our staff. We also use this tool to track attendance with our management corporate training both online, and workshop-based.

How long did it take you to launch this tool?

We launched this tool with our initial launch of the World Manager® platform. It was extremely beneficial to track all these checklists electronically instead of manually. It took us about 1 or 2 months for the whole group to use this tool.

What specifics steps did you take to ensure successful implementation of this tool?

Since we implemented this tool with the initial launch of the platform, we did the training of the tool at the same time that we communicated and trained all our staff for the whole platform. For the approvals and sign-offs tool specifically, we entered data in a sample store and illustrated the process how to track, sign off employees and generate reports.

Did you or your employees need training to use this tool?

We have done some workshops for groups of managers and franchisees in our brand. We provided training sessions on how to use the platform to new managers and franchisees in their initial program. We have also created some internal quick and easy guidelines how to use the key tools in the platform.

How much time on average do you spend (monthly or weekly) updating this?

This tool is mainly used at a store level by managers and franchisees. They might take an hour a week to update, but it all depends on how much training is needed at the time and how much needs to be recorded.

Is process sign offs a waste of time?

At the support office, we use this tool to track manager courses and it might take approximately 1 hour a week to update.

What advantages do you see in tracking sign offs online?

All our team members are able to see real time training completions. Managers and franchisees can log on at any time to the learning and development section to determine completed and outstanding items. This information is crucial for them to take quick corrective actions when needed. Business managers find this tool very useful to interact with stores and franchisees. They have access to all the various KPI’s at any time.

Are there any specific features within this tool that you find add value to your business?

The tool itself adds immense value to our organization. We also find very beneficial all the information that we can deduct from stats and reports. Any member of our team can quickly access information they require on sign-offs, completion rates and dates. Additionally we can track class completions including those that must meet legislative requirements (i.e. First aid), a very important aspect of our overall compliance.

What advice or tips would you give to other users that are about to launch the tool or are just looking to use it more effectively?

We suggest linking the results to KPI figures for business developers and Area Managers. Our Area Managers and franchisees complete the sign offs of the staff that reports to them. In our experience we found it very useful to reset the tool every 6 months to prompt re-completion and review of content regularly to process sign off checklists. Additionally our teams and business developer managers communicate the result percentage to their store teams encouraging healthy competition.
